One thing people have always said about me is that I’m ridiculously organized! Clients, friends, family, teachers… honestly probably anyone who has ever looked at my color-coded Google Drive folders. And while yes, some of it is definitely just my personality, being organized has also become a HUGE part of running a business successfully.

And contrary to popular belief, being organized doesn’t mean you need some super rigid boring workflow either. I’m all about making organization feel fun, realistic, and actually sustainable long term. So if you’re constantly feeling overwhelmed by your to-do list or like your business is running your life instead of the other way around…

here are different tools I use to stay organized in my business and just life in general!

iPhone Notes App

This is probably going to sound super basic compared to all the fancy productivity apps out there… but I genuinely use the Notes app on my iPhone every single day! I used to rely heavily on paper planners, daily notepads, weekly sheets, color-coded pens… the whole thing. And while I still love physically writing things down sometimes, I realized it just wasn’t realistic for how often I’m traveling, moving around, working from different places, or quickly needing to check tasks on-the-go.

The biggest reason I love using Notes is because it syncs across all my devices automatically. So whether I’m on my laptop, phone or iPad, I can immediately update my lists without needing to carry around planners, sticky notes, or loose papers everywhere.

Asana 

Asana has been one of my favorite tools for keeping track of the bigger picture in my business and for my clients. If I have this in the same place as my daily and weekly list, I get too lost thinking about tasks that aren’t as high of a priority. I love it for larger projects that have multiple tasks, tracking deadlines, planning ahead for capacity and recurring tasks. I use the board/column setup because it helps me visually see where projects are sitting instead of feeling like everything is floating around in one long list.

Google Drive 

My Google Drive is basically my second brain! Everything lives in there. And the biggest thing that helps is keeping things organized BEFORE it becomes a disaster. Organized storage becomes especially important when it comes to repurposing older content later on.

Dubsado 

Dubsado is my biz BFF. We hang out together every day, and she keeps me in check. I love Dubsado because it is so convenient having one safe place to keep my contracts, invoices, proposals, emails, etc. It saves SO much time compared to bouncing between 14 different systems trying to remember where everything is. Having organized backend systems also creates a way better client experience too.

 
 

A lot of business owners assume systems and organization have to feel super restrictive or overly corporate. But realistically, being organized is what creates MORE freedom in your business!
